12TH MEETING OF PACIFIC ISLANDS MARITIME ASSOCIATION (PacMA)
And SEMINAR, 31st March to 4th April 2008, Nadi, Fiji Islands
BACKGROUND INFORMATION
1. The 12th annual general meeting of the Pacific Islands Maritime Association (PacMA) will be convened on Wednesday 2nd April 2008.
2. The PacMA Sub-committees and Executive Committee will meet on Monday 31 March and Tuesday 1 April respectively. Following the PacMA meeting on Wednesday, there will be a 2-day seminar where delegates will be considering two main topics: Business Excellence Framework and Seafarers Employment; which will no doubt create motivating discussions amongst members of PacMA.
3. The PacMA meeting will allow delegates to discuss issues that are affecting their countries, with particular reference to the ISPS Ce requirements and present status of implementation.
4. Each delegation will be required to submit a brief country paper covering recent developments over the past year at the national maritime scene since the last PacMA AGM, including statistics and pertinent information from maritime training institutes and administrations as per attached format.
5. Attached are the provisional agendas for the week. Should you wish to add other items and/or have comments to make, we would appreciate receiving them by 15 February 2008 at the latest, together with supporting documentation, for circulation to all delegates. If we do not hear from you by the due date, we will interpret silence as consensus.
LANGUAGE OF INSTRUCTION
6. The language of the meeting is English. It is expected that interpretation and translation services will not be available during the meeting. Nominees will be expected to have a good enough command of English to follow the meeting. Any participant who feels he or she needs translation or interpretation services should advise the SPC of this requirement as quickly as possible.
VENUE AND DATE
7. The events will be held from 31 March to 4 April 2008. The venue will be the Novotel Nadi, Fiji Islands (formerly Mocambo Hotel).

NOMINATIONS
8. Governments and Administrations are invited to nominate two candidates. One should be a senior officer from the Maritime administration and the other one to be from the Maritime training institution. The SPC regrets that it is unable to sponsor more than two delegates.
9. In order that the necessary administrative arrangements may be completed in good time, it would be appreciated if Governments and Administrations could advise the Regional Maritime Programme, at the latest by 7th March 2008, whether they will be represented and, if so, the names of their representatives. Please remember to submit your nominations through the Foreign Affairs department. Please also note that late applications after the due date will not be considered.
10. Nominees should complete the application form attached to this document. This is in two parts: Part 1 to be completed by the applicant and Part II by the applicant's head of department. The completed forms are then to be returned (faxed) by 7th March 2008 to:

TRAVEL, ACCOMMODATION AND FINANCIAL ARRANGEMENTS
11. The Secretariat will provide a return economy class excursion air fare to Nadi by the most direct route for two participants from each member country.
12. The Secretariat will forward a Prepaid Ticket Advice (PTA) to respective Governments and Administrations on receipt of names of nominees.
13. The Secretariat will arrange and pay for accommodation at the venue during the Meeting and Seminar. If a participant wishes to make his/her own accommodation arrangement at his/her own cost, he/she is required to advise the Regional Maritime Programme well in advance.
14. A daily per diem less accommodation cost will be paid to each participant during the Meeting and Seminar.
INSURANCE
15. The Secretariat does not insure participants while attending meetings or during travel to and from meetings and will not be responsible for expenses arising from sickness, injury or other disability or loss of life.
